Events Job Description

MTCA is currently hiring a full time (or close to full time) EVENTS/HOSPITALITY MANAGER. This will be a forward facing position with onsite interaction with MTCA families as well as planning and management of events.Qualities we are looking for:

Knowledge of MTCA and the College Audition Process

Events planning experience

  • Strong organizational and multitasking skills with high attention to detail.
  • Engaging and dynamic people-person. Positive energy to match a motivated team.
  • Excellent customer service and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Creative problem-solving abilities in a fast-paced environment.
  • Ability to work flexible hours, including evenings and weekends, as needed.
  • Ability to be onsite for MTCA events, internal and external. This means traveling into NYC multiple times a month, especially on weekends. This likely means local to NYC (or close).
  • Ability to travel to out of town events, as needed.
  • Competent using technology, including CRM and google software – to track events, including scheduling and registration.

Key Responsibilities:

  • Plan and coordinate all aspects of events, including logistics and execution.
  • Collaborate with internal teams and external vendors to ensure smooth event operations.
  • Help take MTCA’s hospitality to the next level. Establish and maintain a consistent level of excellence for what an MTCA event looks and feels like.
  • Plan events:
  • Develop event timelines, schedules etc
  • Secure venues and manage relationships with vendors.
  • Booking travel and lodging for the team.
  • Coordinate with our marketing team for event promotion
  • Correspond with registered students; sending details and answering questions
  • Book coaches/faculty or events
  • Ensure compliance with health, safety, and legal requirements for each event.
  • Execute events:
    • Oversee event setup and breakdown.
    • Manage on-site event execution, ensuring a smooth experience for attendees and coaches
    • Interact with families, answering questions and managing guest needs and feedback

  • Remote position Day-to-Day (w/ on-site expectations for events)
